The Company info page is where you will see all Microsoft Licenses and custom licenses for an added company.
This page explains each of the components
License Overview
The license overview list gives you key information about the licenses in a tenant
- The license name
- Underlying subscription information that make up the license count
- Along with if its a monthly or annual subscription term
- Active licenses
- Unassigned licenses
This allows you to easily see what is in the tenant and map the licenses to the agreement with the correct billing profile.
Subscription Details
By hovering over the subscription "i" you can see the details of the subscriptions
If you are a Direct CSP with Microsoft, this will also show your Partner subscription ID's.
We will match the tenant and partner subscription ID's and count them as a single interchangeable subscription.
Here is an example of a Direct CSP, showing both their partner subscription and the tenant side subscription
Splitting subscriptions out
When you have subscriptions with different terms, you will want to assign different billing profiles to them as they will have different costs.
To do this you can click on the "Split" option.
This will split the license out to the individual subscriptions, allowing you to assign a billing profile to each of them. In this image, it is a Direct CSP with Microsoft, so each line shows the Partner and Tenant subscription ID.
If you want to merge them back into a single license to map, you can click "Merge"
Mapping a License
Mapping a license is the process of setting a billing profile and selecting the agreement that the product should sync to.
After you set up a license mapping, we will automate any changes that happen with it.
There are 2 ways you can configure the license mapping.
- Quick mapping drop down which you can access by clicking the dropdown next to the license name
- Full mapping page which has a couple of additional configuration options
- Option to overwrite the invoice description
- Option to override the price on the billing profile
This is accessible by clicking on the license name
Quick Mapping Dropdown
Here you can see the quick mapping dropdown and its configuration options
There are 2 items that must be selected to be able to save it
- Billing profile - This is the product that will be added/updated on the agreement
- Agreement/Contract - The agreement/contract to use to manage the license in your PSA
Save the mapping when you are finished and we will start syncing it to your PSA
Options Explanation
- Included license quantity: Include this number of licenses, it will reduce the total count by this number of licenses
- Allow negative prorate: When there is a reduction of quantity, it will provide a credit on the agreement (We recommend to leave this unticked)
- Allow Override Date: Used for initial license mapping if you need to set a specific start date. I.e. if you only want it to start at the 1st of the next month, you can select this here and we will do the initial sync with that start date.
- Set a minimum license quantity: Set a minimum quantity that the license count will not go below
- Add username to invoice description: Lists all users that have this license assigned to them
- Add username to prorated additions (Connectwise): Lists the changed users on the prorate addition if prorate is enabled on the agreement
- Number Users: Numbers the users in the list
- Show unassigned license count: Shows the quantity of licenses that are not in use
- Exclude license: This excludes the license from syncing and being alerted on. Typically used on free/trial licenses or a license you never want to bill or be alerted about.
